Function: Property ManagementPosition Title: Assistant Director – Portfolio Management
Purpose of Job: To assist the Director - Portfolio Management in the leasing and management of properties within the portfolio.
Major Responsibilities and Objectives
• Overall responsibility for the smooth running of one or more cost centres.
• Manage the day to day functions of properties within the portfolio.
• Ensure the properties secure first class management and maintenance service, and recommend improvement where necessary.
• Maintain good relations with tenants.
• Maintain a high occupancy rate whilst maximising return on investment.
• For retail properties, maintain a good mix of tenants to achieve target rentals and maximise returns.
• Take part in ad hoc and new projects as a steering committee member.
Major Tasks and Activities
• Analyse property market trends and conditions to establish rent levels.
• Recommend leasing strategy and commercial terms for management’s consideration.
• Negotiate major new lettings and renewal of major leases, and ensure proper documentation is prepared.
• Ensure all tenants’ enquiries and complaints are dealt with effectively and efficiently.
• Monitor and enforce the performance of all tenants according to the tenancy terms including credit control and collection of arrears.
• Implement preventive maintenance programmes in order to maintain the quality and image of the properties.
• Manage office administration and record keeping.
• Manage and supervise staff members.
• Liaise with all sections of the company on new developments providing marketing/management input to same.
• Provide set up and opening management requirements for new buildings.
• Prepare and evaluate annual budgets and undertake effective tracking and control of expenditure.
Skills, Qualifications and Experience Requirements
• University graduate with suitable professional qualification and over 10 years post qualification experience in Property Management (retail, office or residential).
• International exposure an asset.
• Strong negotiation, communication, leadership and interpersonal skills.
• Fluent Chinese (Mandarin) and English. Cantonese an asset.
